Cancellation and Refund Policy
Cancellations must be received in writing – mail, or email – to SWIM Coaches & Teachers Australia (SWIM). Cancellations will not be deemed to be received until you have written confirmation from SWIM. If you have not received acknowledgement within two business days, please contact SWIM on (07) 5494 6255.
Should it be necessary to cancel your registration due to Government imposed travel restrictions, we will provide you with a full refund, minus any bank fees incurred. Evidence may be requested, and each situation & scenario will be considered on a case-by-case basis.
Refunds for any other reason will adhere to the following cancellation terms:
Registration Fees:
Cancellations on or before 30 days prior to the event will incur a $150 cancellation fee.
Cancellations on or after 15 days prior to the event will receive no refund.
Event Cancellation or Postponement (Force Majeure)
SWIM do not accept any liability for losses incurred in the event being cancelled or postponed due to unforeseen circumstances or any other event that renders performance of the event inadvisable, illegal, impracticable, or impossible.
An unforeseen event shall include but shall not be limited to: an Act of God; infectious disease outbreak, industrial disruptions, service provider failures, governmental restrictions and/or regulations; war or apparent act of war; terrorism or apparent act of terrorism; disaster; civil disorder, disturbance, and/or riots; curtailment, suspension, and/or restriction on transportation; or any other emergency.
Cancelling Your Accommodation
It is the responsibility of the delegate to book and manage their own accommodation for SWIMCON25. The organisers do not take responsibility for booking or payment for any rooms booked.
Data Privacy Policy
Details provided to SWIM for the purpose of registration will be used to ensure that individuals are provided with relevant information relating to the event.
Data may be shared with third parties to ensure the provision of services deemed essential.
Attendees to SWIMCON25 consent to their registration details being shared with the event venue, sponsors and exhibitors.
Imagery footage
By participating in SWIMCON25, you acknowledge and agree to grant SWIM Coaches and Teachers Australia the right to record, film, livestream, photograph or capture you in any media now available or hereafter developed and to distribute, broadcast, use or otherwise to disseminate, in perpetuity, such media without any future approval from you.
Registrations
To ensure social-distancing protocols are met (in case re-introduced), SWIM are contractually bound by the The Event Centre to not exceed Government-mandated room capacities. It is imperative that SWIMCON25 delegates select their preferred conference stream, course and social events at the time of registering to assist SWIM in ensuring delegate safety and COVID-19 event compliance.
Amendments to existing registrations can be requested by emailing [email protected] but are not guaranteed.
Late Registrations (after registration has closed)
Registrations for the conference will close one week prior to the starting date to enable appropriate pre-conference preparations. However, late registrations may be accepted onsite. A late fee of $50 AUD will be applied. Delegates who choose to register onsite will be required to pay for all related costs immediately by cash or credit card. Receipts will be provided when you register.
A late registration is any registration less than 1 week before the conference start date. In addition, there is a risk that social program functions may be fully subscribed. This policy has been implemented to enable a greater efficiency in the coordination necessary during the lead up to the conference, and to ensure the most enjoyable conference experience possible for everyone involved.
SWIMCON25 Program – Subject to Change
In the event SWIMCON25 speakers and course presenters are unable to fulfill their obligations due to unforeseen circumstances (such as travel restrictions), SWIM reserve the right to amend the SWIMCON25 Program accordingly.
Insurance
Registration fees do not include insurance of any kind. It is recommended that participants take out their own general travel insurance. It is suggested that the insurance policy should also cover loss of fees/deposit, airfares, accommodation charges, medical expenses, loss or damage to personal property and repatriation expenses. The insurance should cover loss arising from the cancellation of the conference by the organisers or a person’s inability to attend due to any reason whatsoever. No responsibility is taken by the conference managers for any person not holding insurance.
